SAP SuccessFactors has delivered enhancements and updates across the SAP SuccessFactors® HCM Suite as part of their Q4 2018 product release. Here are a few key updates you should consider for SuccessFactors Employee Central (EC) Payroll, Localization, Benefits and Time Management.

Employee Central Payroll

Enhancement of Payroll Task Types

Configure own payroll task types at a generic level depending on event reason using preconfigured task types. (Hire Date, Marital Status, Dependents, and Rehire)


Configuration Type: Admin Center opt-in

Why is it important? Allow customer more flexibility to create own payroll task types.

Payroll Control Center: Team Configuration and Team Management

  • New role of “Payroll Team Lead”, with team configuration, users can configure teams to handle alerts for processes that support team monitoring.
  • Allow to define teams for alert processing based on different dimensions.
  • Team Management enables leads to manage the setup and monitor alerts.
  • Process Management enhanced to support teams defined in Team Configuration.
  • Alert Management supports teams in Team configuration and assignment of alerts from queue without need to navigate to “team alerts”

Configuration Type: Admin Center opt-in

Why is it important? More flexibility regarding handling alerts for processing and team monitoring.

EC Localization and Document Generation

Enhancements: Belarus and Myanmar

New baseline country version to maintain specific employee data for country.

Configuration Type: Admin Center opt-in/ Upgrade Center opt-in

Why is it important? Allow customer specific information to be maintained.

EC Time Management

Dynamic Break Deduction

  • Dynamic breaks are flexible, get automatically generated after a configured duration of working time has passed.
  • Several functions of dynamic breaks
    1. Breaks are generated into absence time records as well as into attendance time records. For absences the break reduces the deduction quantity / duration of the absence.
    2. Dynamic breaks are configured in a new configuration object that is assigned to the employee in the job information
    3. Dynamic break mechanism can be mixed with manual break recording
    4. When manually recorded breaks exist that are shorter than the configured dynamic break rule the system generates an additional break.
    5. Gaps in between working time are not regarded as break time. When they shall be regarded as breaks, the employee needs to record a break for this period.
    6. Generation of dynamic breaks cannot be switched off by an employee. Only when a work schedule with fix breaks is assigned for a day or a period (via the temporary change of work schedule function) the generation of dynamic breaks is not applied.
    7. Dynamic Breaks cannot be mixed with fix breaks defined in the work schedule. If a work schedule fix break exists, dynamic breaks are not processed.

Why is it important? Allow flexible deduction of breaks from the recorded working time of employee.

New Time Off User Interface in SAP UI5

Time Off leave request application is delivered in new UI technology and new design.

Configuration Type: Admin opt-in

Why is it important? Switch to standardized SAP UI patterns, possibly for recurring absences and split and delimit in the employee user interface.

New Status in Time Sheet Object

  • Time sheet objects provides more information on the data that is contained in a time sheet.
  • Parameters are: Absences, Manual entries, imported entries, imported entries, Generated entries, time recorded method.

Why is it important? Information used for internal time sheet and reporting.  Can also be used for workflow rules and validation rules.

Blocking of Time Account Details (Time Account Postings) for Permanent

For data protection and privacy, can block time account details for permanent time accounts.

Why is it important? Functionality around data protection and privacy.

Mobile Time Enhancements

Mobile time sheet for time recording negative time, overtime, AM/PM and half day, mobile approvals.

Why is it important? Increase functionality with mobile.

Workflow

“Assign to me”- New Workflow Feature to Support HR Admins

  • New permission “Manage Workflow Assignments” and a new feature “Assign to me” is available.
  • Users will be able to assign/remove themselves in a workflow when they belong to a dynamic group.

Configuration Type: Universal

Why is it important? Gives visibility to a workflow allowing team to know who the process is currently with preventing duplication.

Ability to Manage EC Alerts & Notifications Data in Admin Center UI

When rules are edited or deleted, Alerts/Notifications based on them also need to be updated.

Configuration Type: Universal

Why is it important? Users were not able to delete notifications without opening a support ticket. Now Alerts/Notifications can be managed in Admin Center.

EC Suite Integration

RCM-ONB-EC Integration: Ability to Create Concurrent Employment in Manage Pending Hire

Process allows for internal employees to apply for concurrent employment in RCM and move through ONB and be hired in Manage Pending Hires.

Configuration Type: Universal

Why is it important? For customers using RCM-ONB-EC seamless integration for all hire types.

Visa and Permit Management

New Business Process Management Platform for Visas and Permit

Process management will flow from initiation to document issue. Flexible setup for all document types including access for all roles involved in the document management process.

Configuration Type: Admin opt-in

Why is it important? Separates the document (object) from the process to acquire the document.

Request Processes for Visas and Permits

Allows an Employee to initiate a new or renewal visa or permit request along with being able to update statuses and upload attachments.

Configuration Type: Admin opt-in

Why is it important? Interactive platform removes Admin dependency to perform tasks on behalf of the employee.  Provides full visibility for Employees, Managers and Admin for tracking purposes.

Visa and Permits Cost and Expense Management

Cost management will allow system Admin to setup account to a legal entity, manage cost and taxes for services related to Visa and Permit on Document or Milestones.

Why is it important? Allow tracking and management of budget and expenses associated to the visa and permit process and be able to report on it.

SAP Best Practices for SAP SuccessFactors Employee Central

Enhancement: New Country Versions

Mexico and Singapore content will get localized deeper since 1808 update.

Configuration Type: Provisioning opt-in

Why is it important? Automatic deployment decreases implementation time and keeps customers aligned with best practices.

Other Minor but Helpful Enhancements:

  • Improve Purge of Payroll Tasks Objects: DRTM Payroll Data Maintenance Task: Configure Retention Time
  • Time Account Snapshot API Public Available: Time Account snapshot gives you employees time account balances for a specified date.
  • GA/CE Search Adoptions for Workflow Screens: Can search on Global Assignment and Concurrent Employment
  • Map Start Date for Internal Hires in Manage Pending Hires: Internal hire date in EC will be the same as the job start date from RCM/ONB.
  • Unified Experience While Creating Visa for Employees/Dependents/Candidates: Enhanced ‘end user’ usability through provisioning of one common UI experience.
  • Simplify the Creation of Business Entities: Enhanced ‘end user’ usability: Permit type and legal document assignment easier for business entities.
